1. Who we are and scope
NovaVend is an operating brand of WCAP Detailing Inc.. This policy applies to personal information collected through novavend.ca and NovaVend phone support, including placement inquiries, machine support reports, product suggestions and optional website analytics.
WCAP Detailing Inc. is responsible for personal information under its control. The NovaVend Privacy Officer oversees this policy and privacy questions.
2. Information we collect
Information you submit
- Placement inquiries: contact, property and inquiry details.
- Support reports: contact details where follow-up is needed, machine and location context, a description of the issue, relevant transaction details, and call or conversation metadata when phone support is used.
- Product suggestions: machine and location context and the product details you choose to provide. We do not ask for your name or contact information.
Please do not submit payment-card numbers, government identifiers, passwords, health information or other sensitive information through these forms or phone support.
Information processed automatically
Our hosting and security infrastructure may process standard request information such as an IP address, browser type, requested page, timestamp and diagnostic or security data needed to deliver and protect the website.
Google Analytics loads only after you choose “Allow analytics.” It may then process information about how you arrived at and used the site, along with general browser, device and approximate location information. We do not intentionally send form contents, email addresses, property names, payment details or public machine-location names to Google Analytics. See our Cookie Policy.
3. How we use information
We use personal information only for purposes a reasonable person would consider appropriate, including to:
- review and respond to placement inquiries;
- identify a machine, investigate a reported problem and follow up where needed;
- review product requests for the correct machine;
- operate, secure, troubleshoot and improve the website, forms and phone support;
- understand website use when analytics consent is given;
- maintain appropriate business, security and breach records; and
- meet legal obligations and establish, exercise or defend legal claims.
Submitting a form or using phone support does not subscribe you to marketing messages. We do not sell personal information or use support submissions to build advertising profiles.
4. Consent and collection choices
When you submit a form or use phone support, you consent to the collection, use and processing needed to handle that request. Required fields are limited to information needed for the selected purpose; optional fields can be left blank.
Analytics is optional. The Google tag is blocked until you allow it, and declining does not limit access to the site or forms. You can change the choice at any time using “Privacy choices” in the footer. Withdrawing consent does not affect processing already completed and may be subject to reasonable legal or record-keeping requirements.
6. Retention and safeguards
We keep personal information only as long as reasonably needed to handle the request, maintain appropriate business records, resolve a dispute or meet a legal obligation. Retention depends on the type of request and whether an ongoing business or legal need applies. When information is no longer required, we delete it, anonymize it or securely isolate it until deletion is possible.
Service providers may retain limited records under their own legal, security and backup requirements.
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information. No method of transmission or storage is completely secure.
7. Your choices and rights
Subject to applicable law, you may ask us to:
- explain whether we hold personal information about you and how it has been used or disclosed;
- provide access to that information;
- correct information that is inaccurate or incomplete;
- withdraw consent for future optional processing; or
- delete information that no longer needs to be retained.
We may need to verify your identity before acting on a request. Access can be limited where required or permitted by law, including where disclosure would reveal another person’s information. We generally respond within 30 days, subject to lawful extensions.
8. Children’s information
This site is intended for a general audience and commercial-property contacts, not children. We do not knowingly collect personal information from children. A parent or guardian who believes a child submitted personal information can contact the Privacy Officer to request review and deletion.

10. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The effective date at the top identifies the current version. If a change materially affects how previously collected information is used, we will provide notice and obtain additional consent where required.
